
Vulnerable Sector Check Process 26/27 Season
The Online Submission portal for the 2026-27 season will open as of April 1, 2026.
The following outlines the screening requirements for Team Officials, On-Ice Officials, Third-Party Instructors and similar roles for the 2025–26 season. Please review the section that applies to your situation
1. Process for Returning Individuals for the 2026-27 season
Team Officials, On-Ice Officials, Association Volunteers, or Third-Party Instructors, etc. that are returning for the 2026-27 season, and had their screening approved by the OHF this past season with a Vulnerable Sector Check (VSC) from 2024 or 2025, will only be require to complete the OHF online screening declaration. The declaration from the 2025-26 will expire on May 31, 2026.
● ✅ You DO NOT need to submit a new VSC.
● ✅ You are only required to complete the online declaration through the submission portal.
2. Process for Returning Individuals with a 2023 VSC (expires May 31, 2026)
Team Officials, On-Ice Volunteers, On-Ice Officials, Association Volunteers, and Third-Party Instructors, etc. that are returning for the 2026-27 season and had their screening approved by the OHF this past season with a Vulnerable Sector Check from 2023 will be required to submit a new VSC and complete the online declaration for this season. The screening for these individuals will expire May 31, 2026.

3. Process for New Individuals
New Team Officials, On-Ice Volunteers, On-Ice Officials, Association Volunteers, and Third-Party Instructors, etc. for the 2026-27 season will be required to submit a VSC and complete the online declaration for this season. New Individuals must register with Collingwood Minor Hockey Association, in the HCR prior to submitting their screening to the OHF.

Police Services will send your completed VSC document via e-mail. Please note that this email could be directed to your junk or spam folder and there will be an expiry date to download the document. Police services tend to take several weeks to process your VSC. It is your responsibility to check your email folders. The CMHA does not have the ability to help in getting access to an expired document. You will need to work back with Police Services if this occurs.

Receipts for Coach and Bench Staff
The OHF will NOT be accepting receipts for a VSC between the periods of April 1 and July 30, 2026. The police services genenerally take 6-8 weeks to process application, so anyone who is required to submit a VSC should start the process with their police service as soon as possible. They can then submit their completed VSC to the OHF and complete the online declaration once they have had it returned to them by police services.
Receipts for On-Ice Officials (Referees)
The OHF will accept VSC receipts as of May 15th, 2025 for all on-ice officials. They need to submit the receipt and complete the online declaration through the OHF Submission portal.
